Project planning framework

Define the project.
Then define the work.

A useful development conversation connects the intended building, the available evidence and the people responsible for decisions. This framework is illustrative; each engagement needs its own agreed scope.

Questions and records for a development brief
WorkstreamQuestions to resolveRecord to agree
Purpose & usersWho will live in, work in or use the building? What problems should the development solve? An agreed project brief with essential requirements and optional preferences.
Site & informationWhat is known, what is only assumed, and what needs specialist investigation?A source-labelled information register and a list of unanswered questions.
Design & decisionsWho prepares, reviews and approves each stage? Which changes need written approval?A design responsibility matrix and dated decision record.
Programme & coordinationWhat depends on earlier decisions, materials, appointments or approvals?A proposed sequence showing dependencies, owners and review points.
Quality & close-outWhat will be inspected, recorded and handed over, and by whom?Project-specific inspection, issue-resolution and handover schedules.

Reporting that explains progress

Ask what changed—not only what percentage is complete.

A proposed project update can identify its reporting date, work completed, next activities, decisions required, open issues and responsible contacts. Photographs should be dated and authorised. Any progress percentage needs a stated measurement basis, and changes to expectations should be explained.
